Effective Minute Taking

This course will help staff to go through a step-by-step approach to producing effective minutes for meetings from local up to board level, as well as HR disciplinary meetings. You will be given templates to help you produce structured agendas and take notes effectively. Practical exercises will help you build confidence and put ideas into practice.

· Understanding the purpose and learning the different types of minutes and writing styles
· Understanding the duties and responsibilities of the Chair and minute taker and how to work in partnership
· Setting an agenda and using an agenda in practice
· Improving your listening skills, and using correct tone and professional language
· Sorting, selecting and summarising information effectively
· Learning techniques to identify and highlight important points in a clear concise language
· Learning when to interject
· Tackling common problems - finding out and remembering who each person is, not understanding, numbers and figures, importance of preparation, confidence, trying to record every word, and people talking too fast
· Dealing with jargon, technical language, grammar and punctuation professionally
· Understanding confidentiality and data protection

This course is delivered using trainer presentation accompanied by handouts, and delegates are encouraged to contribute throughout. A range of methods are employed to maintain delegate engagement such as PowerPoint presentation, reference material, group work, flip chart work, subgroup work and group discussions.
